Octa IT Solution LLP ("we", "us", "our") operates the Octa Inventory mobile application (the "App"). This Privacy Policy explains what information the App collects, how it is used, and the choices you have. Octa Inventory is a business inventory and accounts management tool used internally by registered businesses and their employees — it is not a consumer-facing app, and it is not intended for use by children.

By using the App, you agree to the collection and use of information in accordance with this policy.

Information We Collect

Account & Login Information

• Username and password, used to authenticate you against your organization's account.
• Employee name, role, and client/organization ID, returned by our authentication service and used to control what you can see and do inside the App.

Business Data

The App displays and lets you manage business records belonging to your organization, including:

• Invoices, bills, and rent bills
• Customer records
• Stock / inventory items
• Expenses and expense categories
• Payment requests and payment records
• GST and account-summary reports

This data belongs to and is controlled by your employer/organization and is stored on secure servers we operate. We process it solely to provide the App's functionality to your organization.

Files You Upload

When you submit a payment against a payment request, you may attach a proof-of-payment file (image, PDF, or Word document). These files are uploaded to our servers and associated with that payment record.

Biometric Authentication (Optional)

If you enable app-lock using your device's fingerprint or face recognition, this is handled entirely by your device's operating system. Your biometric data never leaves your device and is never collected, transmitted, or stored by us or the App.

How We Use Information

• To authenticate you and maintain your session (via a secure, encrypted session token stored on your device)
• To display and let you manage your organization's business records
• To generate reports, summaries, and PDF documents (e.g. invoices) on your request
• To operate, maintain, and improve the App

We do not use your information for advertising, and we do not sell or rent your information to third parties.

Data Storage & Security

• All network communication between the App and our servers is encrypted (HTTPS).
• Your authentication token is stored on your device using the operating system's secure storage (Keychain on iOS, Keystore-backed storage on Android) and is never stored in plain text.
• Business data is stored on servers we operate, protected with access controls limited to authorized personnel of your organization.

Third-Party Services

The App does not integrate any third-party analytics, advertising, or tracking SDKs. It communicates only with our own backend API to send and retrieve your organization's business data.

Data Retention

We retain account and business data for as long as your organization's account remains active, or as needed to comply with applicable accounting, tax, and legal record-keeping requirements. You may request deletion of your account data by contacting us using the details below, subject to any legal retention obligations.

Children's Privacy

The App is a business tool intended for use by adult employees of registered organizations. It is not directed at, and we do not knowingly collect information from, children under 13.

Your Rights

Depending on your location, you may have the right to access, correct, or request deletion of your personal information. Please contact us to make such a request.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. Continued use of the App after changes are posted constitutes acceptance of the updated policy.
